Terms & Conditions — Equipment Rental

These Terms and Conditions ("Terms") govern the rental of equipment from VISIONS ("we", "us", "our"). By placing a booking or taking possession of any rented equipment, the client ("you", "your") agrees to be bound by these Terms. These Terms are governed by and construed in accordance with the laws of Sweden.
1. Definitions
"Equipment" means any item(s) listed on the booking confirmation, including all accessories, cables, cases, and packaging supplied with the item. "Rental Period" means the agreed period stated on the booking confirmation, beginning on the date of collection or delivery and ending on the agreed return date. "Daily Rate" means the price per calendar day as listed on our website or quoted in writing, inclusive of Swedish VAT (moms) at the prevailing rate.
2. Bookings & Confirmation
All bookings are subject to availability and are not confirmed until we have issued a written booking confirmation via email. We reserve the right to decline any booking at our sole discretion. Amendments to confirmed bookings must be requested in writing at least 48 hours before the start of the Rental Period.
3. Rental Period & Returns
Equipment must be returned by 10:00 on the final day of the Rental Period unless otherwise agreed in writing. Late returns will be charged at the applicable Daily Rate for each additional day or part thereof. Equipment must be returned in the same condition as it was provided, clean and in its original packaging and cases.
4. Pricing & Payment
All prices listed on our website are in Swedish Kronor (SEK) and include VAT (moms). Payment is due in full prior to collection or delivery of Equipment, unless we have agreed credit terms in writing. We accept payment by bank transfer (Bankgiro/Swish) and invoice for approved accounts. We reserve the right to require a security deposit at the time of booking.
5. Insurance — 20% Surcharge
A mandatory insurance surcharge of 20% of the total rental value is added to all bookings. This surcharge covers accidental damage to Equipment while in your possession and control during the Rental Period. This surcharge is waived if you provide a valid Certificate of Insurance ("COI") prior to the start of the Rental Period that satisfies the following requirements: (a) the policy must explicitly cover rented or hired equipment in your control and possession; (b) the coverage must be at least equal to the full replacement value of all Equipment on the booking; (c) VISIONS must be noted as a loss payee or interested party; and (d) the policy must be valid for the entire Rental Period. We reserve the right to reject any COI that does not meet these requirements. If a COI is rejected, the 20% surcharge will apply. The insurance surcharge or your own insurance does not cover loss, theft, or intentional misuse — see Section 6.
6. Loss, Theft & Damage
You are responsible for all Equipment from the moment of collection or delivery until it is returned to and inspected by us. In the event of loss, theft, or damage beyond normal wear and tear, you are liable for the full replacement cost at current market value, or the cost of professional repair, at our sole discretion. You must report any loss, theft, or damage to us immediately and in writing. In the case of theft, you must also file a police report and provide us with a copy. Intentional misuse, negligence, or use of Equipment outside its intended purpose is not covered by the insurance surcharge and will result in full liability to you.
7. Your Obligations
You agree to: (a) use the Equipment only for its intended professional purpose and in accordance with any manufacturer guidelines; (b) not sub-hire, lend, or allow any unauthorised third party to use the Equipment without our prior written consent; (c) keep the Equipment secure, dry, and protected from extreme conditions at all times; (d) not modify, repair, disassemble, or alter the Equipment in any way; (e) not remove, obscure, or tamper with any identification labels, serial numbers, or asset tags; and (f) make the Equipment available for inspection by us upon reasonable request during the Rental Period.
8. Collection & Delivery
Equipment may be collected from our premises or delivered to an agreed location. Delivery and collection charges may apply and will be quoted at the time of booking. You are responsible for inspecting all Equipment upon receipt and must notify us of any discrepancies or pre-existing damage within 2 hours of receipt. Failure to notify us within this timeframe constitutes acceptance that the Equipment was received in good working order.
9. Cancellation
Cancellations made more than 48 hours before the start of the Rental Period will receive a full refund. Cancellations made between 24 and 48 hours before the start of the Rental Period will be charged at 50% of the total booking value. Cancellations made less than 24 hours before the start of the Rental Period, or failure to collect or accept delivery, will be charged at the full booking value.
10. Limitation of Liability
To the maximum extent permitted under Swedish law, our total liability in connection with any rental shall not exceed the total rental fees paid for the relevant booking. We are not liable for any indirect, incidental, consequential, or special damages, including but not limited to loss of revenue, loss of data, production delays, or loss of business opportunity, arising from Equipment failure or unavailability. We make no warranties beyond those required by mandatory Swedish law.
11. Force Majeure
Neither party shall be liable for failure to perform its obligations under these Terms if such failure results from circumstances beyond its reasonable control, including but not limited to natural disasters, fire, flood, pandemic, war, strikes, government actions, power failure, or disruption of transport or telecommunications. The affected party must notify the other party as soon as reasonably practicable.
12. Data Protection
We process personal data in connection with bookings in accordance with our Privacy Policy and applicable data protection legislation, including the EU General Data Protection Regulation (GDPR). By making a booking, you consent to our processing of your name, email, and booking details for the purpose of fulfilling and administering the rental.
13. Governing Law & Disputes
These Terms are governed by and construed in accordance with the laws of Sweden. Any disputes arising from or in connection with these Terms shall be resolved in the first instance through good-faith negotiation. If a resolution cannot be reached, the dispute shall be settled by the competent courts of Sweden.
